Student Employment

The purpose of student employment is to support students in securing meaningful work opportunities that help offset the cost of their college education. The program aims to effectively connect University departments with a talented student workforce while ensuring all students seeking employment have equitable access to job opportunities.

Fraudulent and Scam Job Postings

Students use a variety of resources to find a job or internship. Unfortunately, we continue to see employment scams that college students are encountering. Most recently, these scam artists have been directly emailing students about their supposed opportunities. Many students have reported the emails they receive say that the "employer" received the student's information through our Career Center. Unfortunately, a few have fallen prey to these ‘jobs'.

Here are some red flags to be aware of:

  1. You are contacted through an email account that is not identified with the organization name; they use a Gmail, Yahoo, AOL etc. address instead. Another indicator is if their email domain name doesn't match the business they claim to be working for. Look carefully for slight misspellings in the email address or web address.
  2. You are contacted indicating "we got your resume from your school career center" and the email does not mention 麻豆国产 or HANDSHAKE specifically. The email does not contain a specific job title or they are requesting your contact information again through email. Always be cautious when sharing personal information, such as mailing address, phone number, social security number, identification number, or banking information.
  3. There is no specific location listed. ;Be suspicious if it is advertised as a local part-time position, but it lists the location as "nationwide."
  4. You receive an unexpectedly large check in the mail. DO NOT attempt to cash it or deposit it into your account. Contact the police!
  5. The job duties described are vague and/or the language is poor and full of grammatical errors.

Here is a recent example of a scam emailed to a student claiming to be from Advanced Processing and Imaging (API):

We have a vacancy for the position of a Customer Service Representative and an Accounts Officer. We are currently interviewing a couple of candidates for the position for the aforementioned positions. However, we have not sourced interested candidates for the position of the Account Officer. If you apply for that I can guarantee you the position if you are determined. Your primary responsibility as our account officer will be to handle payments from time to time from our customers. I am the head of the accounts department so I can assist you whenever you need more tutoring or information about the position. The form of payments from our customers usually come in check payments and bank transfers so its your choice to let us know which option suits you. I started from this level we are offering you so I can assure you that if you take the job seriously and are enthused in whatever tasks you are assigned you will be successful and promoted to a higher position in no time. Your starting salary will be between $5,000-$10,000 before tax along side company benefits on a monthly basis and you can make as much as $1,000 to $2,000 on a weekly basis. Please be aware that you can take this position regardless of your location we have customers worldwide and nationwide and the position is very flexible so in case you have another job you can still take this position. Kindly revert to me if you are interested with the following details.

End all communication with the employer, and if personal information was disclosed, monitor your accounts over the next few days, to be on the safe side.

IF YOU HAVE BECOME A VICTIM OF A SCAM: The Federal Trade Commission (FTC) has provided the following instructions for students who have responded to fraudulent postings:

  • The student should immediately contact the local police. The police are responsible for conducting an investigation (regardless of whether the scam artist is local or in another state).
  • If it is a situation where the student has sent money to a fraud employer, the student should contact their bank or credit card company immediately to close the account and dispute the charges.
  • If the incident occurred completely over the Internet, the student should file an incident report with the United States Department of Justice at , or by calling the FTC at: 1 (877) FTC-HELP or 1 (877) 382-4357.

Student Employment Forms

Please note: An up-to-date Form I-9 must be on file with Student Employment on or before the first day of work. Please confirm current Form I-9 status prior to the student beginning work.

A new Student Employee Authorization Form must be completed and submitted to Student Employment for each new Academic Year. 

Student Employment Wage Rates

As approved by the President of the University, the following wage rates apply to Student Employment.

  • All students will be hired at “minimum wage,” which is currently $15.00 per hour.
  • No increases will be provided to students for longevity, night desk service or other rationale.
  • Current student differential levels will not be maintained.
  • Differentials will not be more than $.10 per level of student supervision, with a maximum of two supervisory levels. To be a supervisor or manager, a student must directly supervise/manage two or more students for example:
    • First Level-Minimum wage
    • Second Level-Supervisor of two or more students $.10 more than minimum wage.
    • Third Level-Manager of two or more supervisors $.20 more than minimum wage.
  • The only exception is for students paid through funds generated by external grants and contracts.
Direct Deposit

All newly employed students at Eastern Illinois University will utilize direct deposit. Please contact the Payroll department for questions.

Enrollment Requirements

General Eligibility

To be eligible for student employment, students must be enrolled in at least six (6) credit hours at Eastern Illinois University (麻豆国产) during the semester of employment. For information regarding additional requirements for international students, please refer to the International Students section.

Students in their final semester prior to graduation who are enrolled in fewer than six (6) credit hours may still be eligible for student employment. In these cases, the student must provide an email or written confirmation from their academic advisor verifying that they are in their final semester. Students enrolled in fewer than six (6) credit hours should contact Student Employment for assistance.

If a student becomes ineligible for student employment due to enrollment requirements, and the hiring manager or supervisor wishes to continue the student’s employment, the student may be eligible to work under the Student Extra Help classification. This option is available only for students who are currently employed in a student position. Please contact Human Resources for additional information.

Federal Work-Study

Students awarded Federal Work-Study (FWS) funding receive their award on a per-semester basis. FWS students may work from the first day of the semester through the last day of final exams for that semester. Supervisors should verify the authorized employment period listed on the student’s Federal Work-Study Authorization Form or contact Student Employment for clarification.

Lakeview Nursing Students

Students enrolled through Lakeview College of Nursing, who are located on the 麻豆国产 campus but not enrolled in 麻豆国产 courses, are not eligible for student employment.

If a student becomes ineligible due to enrollment at Lakeview College of Nursing and the supervisor wishes to continue employment, the student may be able to continue working through the Student Extra Help classification. Please contact Human Resources for additional information.

Non-Credit Thesis Enrollment

Students who are registered only for zero credit hours of “麻豆国产 Non-Credit Thesis 5951” are not eligible for student employment.

If a student was employed prior to enrolling in 麻豆国产 Non-Credit Thesis 5951 (0 credit hours) and the supervisor wishes to continue the employment, the student may be eligible to continue working through the Student Extra Help classification. Please contact Human Resources for additional information.

Special Summer Enrollment Rules

To be eligible for student employment during the Summer session, a student must be enrolled in a minimum of six (6) credit hours, unless the student successfully completed six (6) or more credit hours during the immediately preceding Spring semester.

Academic Status

Students who are academically dismissed from the University are no longer eligible for student employment, and their student employment will be terminated.

To maintain eligibility for on-campus student employment, students must remain in good academic standing with the University.

Employment after Graduation

Students who graduate in May may continue working during the Summer term until the end of the Summer student employment pay period, which typically concludes in early August. Supervisors should contact  Student Employment for the specific end date each year.

Note: International students are not permitted to work beyond their May graduation date, as their employment authorization and related documentation typically expire in mid-May.

Graduate Assistants

Students holding a Graduate Assistantship that does not include a stipend are eligible for on-campus student employment.

International Students

Eligibility

International students are permitted to work on campus in accordance with regulations established by the . When the University is in session (August–May), international students must be enrolled full-time, defined as:

  • 12 credit hours for undergraduate students, or
  • 9 credit hours for graduate students

Unless otherwise authorized by the International Student Advisor or U.S. immigration regulations.

International students enrolled in fewer than the required full-time credit hours must receive approval from the International Student Advisor before engaging in student employment.

Employment Eligibility Verification

International students must complete the Form I-9 on or before thier first day of work in accordance with federal employment requirements. An international student may be required to complete more than one Form I-9 during an academic year if the duration of status or program dates listed on the Form I-20 expire during that period.

The completed Form I-9, along with the required supporting documentation, must accompany the Student Employment Authorization Form and be turned into the Student Employment Office on or before the student's first day of work.

Maximum Work Hours

Federal regulations limit international students to no more than 20 hours per week of on-campus employment while the University is in session.

During periods when the University is not in session, such as Winter Break and Spring Break, international students may work up to 37.5 hours per week, consistent with University policy.

Summer Employment

International students who completed six (6) or more credit hours during the preceding Spring semester may work during the Summer term without being enrolled in Summer courses.

  • If not enrolled in Summer courses, the University’s institutional maximum of 56 hours per pay period applies.
  • If enrolled in Summer courses, federal regulations limit the student to 20 hours per week of employment.
Student Employment Authorization Request

Each Account Manager or authorized faculty/staff member and the student employee must complete and sign the Student Employment Authorization Request Form and submit it to the Student Employment Office.

The Student Employment Authorization Form and Form I-9 must be on file with the Student Employment Office on or before the student's first day of work.

Payment will be issued only to students who have been properly authorized for employment by the Account Manager or authorized faculty/staff member and the Student Employment Office.

Federal Form I-9

The Form I-9 must be completed by the student on or before the first day of work, no exceptions.

Account Managers, Faculty and Staff are responsible for certifying that student employees have complied with Employment Eligibility Verification required by the .

The Federal Form I-9 must accompany the Student Employment Authorization form, along with copies of supporting documents showing identity and employment authorization. Always use the I-9 link provided on this web site. This will ensure compliance with the most recent version required. 

Only individuals who have completed training and identified as as authorized Form I-9 representatives may complete Section 2 of the Form I-9 on behalf of Eastern Illinois University. If you have questions, please contact Student Employment

 

Employment Start Dates

New students to the University may not begin employment prior to the first day of classes for the semester.

Students who were not enrolled during the previous semester are also not permitted to begin employment before the first day of classes for the current semester.

Students participating in the Federal Work-Study Program may not begin working before the first day of classes for the semester.

Maximum Hours

All student employees, including those participating in the Federal Work-Study Program, may work a combined total of no more than 42 hours per pay period across all campus employment while the University is in session. Supervisors may assign fewer hours based on departmental needs. 

International Students: Federal regulations limit international students to no more than 20 hours per week of on-campus employment while the University is in session.

When the University is not in session, such as during Winter Break and Spring Break, student employees, to include international students may work up to 37.5 hours per week, provided that student employees do not displace Civil Service employees. 

Special Summer Maximum Hours Rule

During the Summer pay periods, student employees may work up to a maximum of 56 hours per pay period. The Summer pay period begins after the final Spring pay period ends and continues until the start of the Fall semester. Supervisors should contact the Student Employment Office for the specific dates each year. 

International Students: International students who completed six (6) or more credit hours during the preceding Spring semester may work during the Summer term without being enrolled in Summer courses.

  • If not enrolled in Summer courses, the University’s institutional maximum of 56 hours per pay period applies.
  • If enrolled in Summer courses, federal regulations limit the student to 20 hours per week of employment.
Excess Hours

After each pay period, the Student Employment Office reviews an Excess Hours Report to ensure student employees remain within established Student Employment Regulations.

If a supervisor anticipates that a student may exceed the maximum allowable hours, the supervisor must notify the Student Employment Office by email prior to the hours being worked, explaining the reason for the request. Due to occasional periods of increased campus activity, approval may be granted for a student to work a limited number of hours beyond the standard limit. However, repeated occurrences within a department or by an individual student may result in review and corrective action by the Student Employment Office.

Both the student and the supervisor share responsibility for monitoring and ensuring that the student’s combined hours across all campus jobs do not exceed the established limits.

Other Employment at 麻豆国产

Students may hold more than one student employment position; however, the combined hours worked across all student positions must not exceed the maximum limits established by the Student Employment Regulations.

Students may not simultaneously hold a student employment position and a Civil Service, Faculty, or Administrative/Professional position at Eastern Illinois University.

Breaks, Lunch, and Overtime

Student employees scheduled to work between four (4) and six (6) hours are entitled to one (1) paid 15-minute break.

Student employees scheduled to work between six (6) and seven and one-half (7.5) hours are entitled to either two (2) paid 15-minute breaks or one (1) unpaid 30-minute meal period. Departments may establish additional guidelines consistent with their written internal policies and procedures regarding breaks and meal periods.

Student hours worked should be monitored closely, as student employees should not have overtime compensation.

Pay Period

Student employees are paid bi-weekly on the same payroll schedule as Civil Service non-exempt employees. Student payroll is processed on a two-week delay, consistent with the Civil Service bi-weekly payroll schedule.

Required Training

Supervisors are responsible for ensuring that student employees complete all required new hire and annual training requirements.

Required training includes:

  • Ethics Training, Sexual Harassment Prevention Training, and Mandated Reporter Training, which must be completed within 30 days of hire.

  • Cyber Security and Identity Protection Act Training, which must be completed within 30 days of hire.

Training enrollments and notifications are sent electronically to the student employee’s 麻豆国产 email address.

Student Time Worked

Student employees are not required to maintain daily paper timesheets. Departments may continue to use paper timesheets for internal tracking if they choose.

Student employees are responsible for entering their hours worked through PAWS, recording their “Time In” and “Time Out” for each day worked in ¼-hour increments.

Supervisors are responsible for reviewing and approving submitted hours to ensure their accuracy. Any falsification of hours worked may result in immediate termination of employment.

Supervisory Relationships
Student employees may not be directly supervised by an immediate family member. For definitions and additional guidance regarding family relationships, please refer to Internal Governing Policy #11 for more information.
Tax Withholding Forms
Upon hire, all student employees must complete the required income tax withholding forms with the Payroll Office. The Payroll Office is located in Old Main, Room 2011.
Termination of Student Employment

If a student employee’s work performance is unsatisfactory, or if other circumstances make continued employment inadvisable, the supervisor may request that the student’s employment assignment be terminated.

If a student employee wishes to leave a position, the student should notify their supervisor at least one week in advance to allow sufficient time for the department to secure a replacement.

Supervisors are responsible for notifying the Student Employment Office of any employment separation by submitting a .

A must be completed and submitted to the Student Employment Office whenever a student’s employment ends, regardless of the reason. Timely submission of this form ensures that employment records remain accurate and prevents continued system notifications, such as training reminders or outdated department rosters.

Unless a department notifies the Student Employment Office in advance that a student will continue employment during the Summer term, the student’s employment will automatically be assigned a termination date corresponding to the last day of the Spring semester of the Academic year.

Student Work Requirements

Student employees are expected to perform their job duties to the best of their abilities, providing professional, respectful, and courteous service to the departments, faculty, staff, students, and visitors they support. Student employees should demonstrate reliability, accountability, and professionalism while completing assigned responsibilities during their scheduled work hours.

Supervisors are responsible for ensuring that student employees are paid for time worked. Breaks may not be counted as time worked except in cases where a student works four (4) or more consecutive hours, in which case the 15-minute paid break may be counted as time worked in accordance with University policy.

Student employees are covered under the Illinois Workers’ Compensation Act and the Illinois Occupational Diseases Act for work-related injuries or illnesses and may file claims in accordance with University procedures.

Student employees are not eligible for employee benefits, including paid vacation, paid holidays, or disability benefits, as outlined in the University’s Benefits Policy.
